Would you like to create a video where you've got your PowerPoint, as well as your video, on the screen? And then share it on YouTube or Vimeo for your audience to see?
If you're a coach, it's important to let people know who you are, and not just your voice. This is why I tell my clients (who are mostly executive or life coaches) to always use video!
Today, I'm going to show you two ways to do it – the easy way, and the not-so-easy way with a much more advanced set up.
I use ScreenFlow in both tutorials. If you've been following me for a while, you probably already know how much I love ScreenFlow, so just follow this link if you want to use it for your business.
The Easy Way
NOTE: Update PowerPoint for Mac before exporting to video. Previous versions of PowerPoint for Mac did not support exporting video with narration. CONVERT OLDER POWERPOINTS. If your PowerPoint is saved in an older.ppt file format, you should first convert the file to the newer.pptx file format before recording. Recording using the older.ppt.
If your office or background is already perfect and you're ready to go, just follow the instructions below.
- Open your PowerPoint (or Keynote) presentation.
- Open ScreenFlow and click New Recording.
- Tick Record Desktop from and choose your desktop. If your iPhone is plugged in and you're doing your presentation from there, tick Record iOS Device and choose your device.
- Tick Record Video from and choose the camera you want to record from. This can be your built-in web cam.
- Tick Record Audio from and chose the microphone you want to use. In this case, I chose the internal microphone.
- Optional Tick Record Computer Audio if you want to record the sounds produced by your computer – sound effects, music, etc.
- Click the red record button on the bottom. A countdown box will pop up that confirms the things you just set up.
- Switch over to your PowerPoint presentation and click Play or Start the slide show.
- Relax, take a deep breath, smile, and Start your presentation.
- Once you're done, exit PowerPoint and click the camera with a dot in the middle on the Toolbar. Click Stop Record.
If the problem still occurs, quit PowerPoint, and restore the file to its original location. Then, go to the next step. If the problem seems to be resolved, you can move the com.microsoft.powerpoint.plist file to the trash. Quit all Microsoft Office for Mac applications. On the Go menu, click Home. When you are finished recording, save your presentation: File Save.The recording is now embedded on the slide you selected in step 2. To save the recording itself as a separate file on your computer, right-click the picture on the slide that represents the recording, and select Save Media as.In the Save Media As dialog box, specify a file name and folder location, then click Save. Open your PowerPoint (or Keynote) presentation. Open ScreenFlow and click New Recording. Tick Record Desktop from and choose your desktop. If your iPhone is plugged in and you're doing your presentation from there, tick Record iOS Device and choose your device. Tick Record Video from and choose the camera you want to record from. Dear sirs: I have a powerpoint 365 for mac. Want to know if I can record also the laser pointer while recording audio. I have and Imac with high sierra (Upgrade not available) amnd a macbook pro with mojave. I tried to doit in the macbook pro without success I don´t know if this is the way to.
Next is a quick and easy tutorial on ScreenFlow. I have in-depth tutorials here, here and here. ScreenFlow has three main sections:
- The Viewer (where you can preview your video),
- The Timeline (the bar at the bottom that contains your video). The vertical bar on the timeline that you can drag back and forth is called the playhead. And
- The Inspector (where editing magic happens).
- On the Timeline, drag the playhead to the point where you're smiling and relaxed just before the start of your presentation.
- Click the red square at the bottom of the playhead, highlight the section before that and delete.
- Select the rest of the video on the timeline and move it to the start of the timeline.
- To trim the end of the video, drag the playhead to the point where you're smiling just after you've finished your presentation.
- Click the red square at the bottom of the playhead, highlight the section after that and delete.
Now you can do a lot of things with ScreenFlow, you can jump to 07:09 of the first video to see everything you can do with it.
Mac Powerpoint Record Screen
- If you're happy with what you have, click File and then Choose the file name, location, etc, and click Export again. You will get two files: the project file, and the video (mp4) file.
- Once the video is exported, you can now upload it to YouTube, Vimeo and all over the internet.
The More Advanced Way
If you want all the bells and whistles – use a teleprompter, have a microphone set up in front of you, etc. – this is what you'll need:

Using the tools above will make your presentation look more professional. Then just follow the steps in the previous section.

Symptoms
When you try to start PowerPoint for Mac, you may receive the following error message:
Microsoft PowerPoint has encountered a problem and needs to close. We are sorry for the inconvenience.
Cause
This behavior may occur if any one of the following conditions is true:
- PowerPoint preferences are corrupted.
- Programs running in the background are interfering with PowerPoint.
- Application files are corrupted.
- A user account profile is corrupted.
Resolution
To resolve this issue, follow these steps. You may find it helpful to print this article before you continue.
Step 1: Quit all applications and close all windows
On the Apple menu, click Force Quit.
Select an application in the 'Force Quit Applications' window.
Click Force Quit.
Repeat the previous steps until you quit all active applications.
Warning
When an application is force quit, any unsaved changes to open documents are not saved.
When you are finished, click the red button in the upper-left corner of the screen, and then go to 'Step 2.'
Step 2: Remove PowerPoint Preferences
Quit all Microsoft Office for Mac applications.
On the Go menu, click Home.
Open Library.
Note
The Library folder is hidden in MAC OS X Lion. To display this folder, hold down the OPTION key while you click the Go menu.
Open the Preferences folder.
Look for a file that is named com.microsoft.powerpoint.plist. If you locate the file, move it to the desktop. Start PowerPoint, and check whether the problem still occurs. If you cannot locate the file, the application is using the default preferences.
If the problem still occurs, quit PowerPoint, and restore the file to its original location. Then, go to the next step. If the problem seems to be resolved, you can move the com.microsoft.powerpoint.plist file to the trash.
Quit all Microsoft Office for Mac applications.
On the Go menu, click Home.
Open Library.

Step 3: Perform a clean startup

Step 4: Create a new user account
Sometimes, a specific user's information may become corrupted, and this may prevent installation, startup, or use of some applications. To determine whether this is the case, you can log on to the computer by using a different or new user account, and then test the application.
If the problem no longer occurs, the cause exists within the user's home folder. If you think that the user account was responsible, you can continue to troubleshoot by using the new user account.
Note
For help moving your user files to the new account, contact Apple.

Step 5: Use the 'Repair Disk Permissions' option
You can use the Repair Disk Permissions option to troubleshoot permissions problems in Mac OS X 10.2 and later versions. If the permissions for your Microsoft software are incorrect, Office for Mac applications may start slowly or perform slowly. To use the Repair Disk Permissions option, follow these steps:
- On the Go menu, click Utilities.
- Start the Disk Utility program.
- Click the primary hard disk drive for your computer.
- Click the First Aid tab.
- Click Repair Disk Permissions.
Note
The Disk Utility program only repairs software that is installed by Apple. This utility also repairs folders, such as the Applications folder. However, this utility does not repair software that is in your home folder.
Step 6: Remove and then reinstall Office
